NODA use your personal information to help improve our service and tackle wider issues in society that affect members of the public.


We only ask for the information that we need, let you decide what you are comfortable telling us, and explain why we need it. We also treat it as confidential.


When we record and use your personal information we:

  • Only access it when we have a good reason;
  • Only share what is necessary and relevant;
  • Do not sell it to anyone.


We handle and store your personal information in line with the law.


Who’s responsible for keeping your personal information safe?


NODA is responsible for keeping your personal information safe and making sure we comply with data protection law. This means we are data controllers for your personal information.


What do we do with your information?


NODA is a Scottish Charitable Incorporated Organisation (SCIO). This means we use your information for monitoring purposes, our research and campaigning work and to keep improving our service.


First and foremost your information will be kept safe and used to provide you with a service. This also includes us sharing anonymised statistical data that we can use for research purposes to show the value and impact of our service to funders and others who are interested in our work, such as external auditors who want to make sure that we are giving you a high quality service.


We should not need to record any sensitive information but will get your consent to do so if we need to. You can withdraw your consent at any time by contacting the organisation.


We may get your consent by asking you:

  • To sign a paper consent form;
  • To tick a box online;
  • Directly by post, email or webchat
  • Face to face
  • On the telephone at the point of referral


If you have been referred to us from another organisation they will send us your information using a referral form or we will fill in a referral sheet over the phone. They should seek your permission before sending us your information.


What information we ask for


We will only ask for information that’s relevant to your service. This can include:

  • Your name and contact details (address or hospital ward);
  • The name and contact details of the referee;
  • Your next of kin;


If you do not want to give us certain information you are under no obligation to do so. For example, if you want to stay anonymous we will only record information about your circumstances and make sure we use initials for your name.


How we use your information


We only access your information if needed to. For example:

  • For training and quality purposes
  • To help us improve our services
  • To deal with complaints


We may use some information to create statistics about who we are helping and what issues they face. This information is always anonymised so you cannot be identified. We share these with funders, regulators such as The Scottish Charity Regulator (OSCR), government departments.


If we are concerned about yours or someone else’s safety

If something you have told us makes you think that you or someone you know might be at serious risk of harm we could tell the police or social services.


Storing your information


Whether you contact us directly, over the phone, by email or webchat, we will log all the details of your referral onto our system. Some of your information might also be kept within our secure email.


We keep very basic information for 7 years. If there is a dispute we may keep the data for up to 16 years.
